Associate | Client Services

Position Objectives & General Responsibilities

The Associate works within the Recovery Services department on the Client Services team in the initial steps of new client onboarding. This role is responsible for managing the creation, processing, scanning, saving, reporting and monitoring of account opening documents.

 

Working Relationships – Reporting Structure

The individual in this position works with other Client Services Associates and Senior Client Services Associates under the supervision of the Vice President of Client Services.

 

Tasks and Duties

  • Become familiar with the requirements for client enrollment
  • Become knowledgeable of IRS requirements for Certification of Residency requests
  • Answer a high volume of questions from institutional clients on a daily basis
  • Monitor changes in IRS rules and regulations relating to foreign tax reclamation
  • Create account opening documents for beneficial owners and Financial Institutions
  • Validate incoming documents (check for notarized powers of attorney, supporting documents for the IRS, etc.)
  • Scan and save account opening documents
  • Annually renew processes for updating account opening documents
  • Enter, track, update and process client information onto GlobeTax document portal
  • Monitor and update various tracking spreadsheets to ensure client documentation completion
  • Follow up with clients on outstanding documentation
  • Process requests for US Residency Certification
  • Work closely with the IRS, clients and Reclaim Services representative in solving issues regarding Certification of Residency requests
  • Create Certification of Residency billing reports for invoicing purposes
  • Create account status reports for clients and financial institutions
  • Assist in the creation and vigorous testing of the Client Services documentation portal
  • Research and solve operational issues
  • Interact with prospective clients to inform them about our services and account opening requirements
  • Support our sales/marketing efforts by assisting in the creation of power point presentations
  • Conduct training webinars for clients on GlobeTax documentation portal

Qualifications (Skills, Education, Training, and Experience)

  • 2-3 years of experience in Financial Services preferred
  • Bachelor’s degree and strong written and verbal communication skills
  • Ability to organize, prioritize and manage deadlines
  • Ability to work both independently and within a team
  • Commitment to providing the highest level of service for client satisfaction
  • Must be able to work late hours, weeks and holidays as needed
  • Proficiency in Microsoft Office suite, particularly Excel (VLookups, Pivot tables)
  • Experience in customer service
  • Highly motivated with excellent analytical skills
  • Desire to innovate and improve upon processes
  • Ability to maintain professionalism with colleagues and clients
  • Language skills are a plus
